About the Role

We are seeking a highly organized, proactive, and resourceful Executive Assistant on behalf of a client who is a founder, to provide dedicated support across multiple businesses, projects, and personal commitments. This is a high-trust, high-ownership role that goes beyond traditional administrative support and involves managing priorities, coordinating projects, following up on action items, and supporting the smooth execution of business and personal matters.


The ideal candidate is someone who works independently, demonstrates sound judgment, takes ownership of responsibilities, and is comfortable managing multiple priorities in a fast-paced environment.

Job Description 

  • Manage the founder’s calendar, inboxes, correspondence, meetings, appointments, and related logistics across multiple businesses.

  • Prepare meeting materials, attend selected meetings, capture key decisions and action items, and ensure timely follow-up.

  • Coordinate projects and initiatives using ClickUp, including maintaining plans, timelines, deliverables, deadlines, and dependencies.

  • Follow up with clients, suppliers, partners, and internal stakeholders to ensure tasks are completed and proactively flag blockers or delays.

  • Conduct research and prepare briefs, reports, presentations, and other materials to support business and strategic decision-making.

  • Support day-to-day business operations, including order tracking, supplier communication, customer enquiries, and maintaining organized systems, trackers, and documentation.

  • Support content and social media coordination, including content calendars, basic copywriting, scheduling, stakeholder coordination, and simple Canva designs.

  • Coordinate business travel and personal arrangements, including flights, accommodation, transportation, appointments, reservations, and occasional errands.

  • Handle confidential business and personal matters with a high level of discretion and perform other executive support duties as assigned.

Requirements 

  • Bachelor’s degree in Business Administration, Management, or a related field

  • 2–4 years of experience in an Executive Assistant, Personal Assistant, Operations, Project Coordination, or similar role.

  • Experience supporting a founder or senior executive is an advantage.

  • Strong organizational, time management, communication, and follow-through skills.

  • Proactive, resourceful, and able to manage multiple priorities with minimal supervision.

  • Sound judgment, attention to detail, and ability to handle confidential information discreetly.

  • Proficiency in ClickUp, Google Workspace, Microsoft Office, and Canva; familiarity with AI tools is an advantage.

  • Ability to adapt quickly, learn new systems, and work effectively in a fast-paced environment.

Required Tools
